Volunteer Team Receptionist (Part-Time)

Massachusetts’ free, home-delivered meals program for the critically ill seeks a Part-time Volunteer Team Receptionist. Community Servings is a non-profit food and nutrition program focused on the nutritional needs of underserved populations across the state. The Volunteer Team Receptionist is responsible for welcoming afternoon and evening volunteers that includes overseeing the front desk responsibilities, ensuring the volunteer areas are stocked and clean, providing administrative assistance to the volunteer department, and assisting in the kitchen when necessary.

Hours are Mon-Fri, 3:00 p.m. – 7:00 p.m.

Primary Responsibilities:

Volunteer Reception & Hospitality

  • Oversees accurate and complete sign-in/sign-out procedures for on-site staff, volunteers and visitors
  • Promptly, professionally and courteously welcomes and receives all volunteers and visitors
  • Promptly, accurately, professionally and courteously assesses all received calls/inquiries and directs and/or records and relays messages
  • Conducts “spot checks” of Community Room and restrooms to ensure they are clean and properly supplied for Volunteers at start and middle of shift; alerts utility staff as needed
  • Serves as backup to provide a volunteer orientation when needed
  • Assists in the kitchen with evening volunteers as necessary
  • Signs for deliveries when necessary and notifies recipients
  • Keeps immediate supervisor well-informed of activities, results of efforts and problems identified/potential problems; recommends corrective actions to immediate supervisor
  • Respects confidentiality in discussing visitor, participant, staff, volunteers and organizational matters
  • Exhibits genuine concern for visitors, volunteers and staff and always conducts oneself appropriately and professionally

Volunteer Recruitment & Coordination

  • Follows up with volunteer inquiries
  • Maintains and builds relationships with volunteers
  • Maintains effective communication among volunteers, staff and clients
  • Schedules and confirms individual volunteers
  • Calls groups and individuals to confirm shifts
  • Ensures that volunteers are adhering to correct kitchen sanitation policies

Administrative

  • Completes any necessary volunteer documentation.  (DTA, community service, and other agency verification)
  • As needed, assists with general clerical tasks to include data entry, filing, and agency mailings

 

Qualifications

  • Personable, friendly demeanor
  • Experience handling multiple tasks in a fast-paced environment
  • Experience working with large groups and delegating tasks
  • Experience in Microsoft Windows and Salesforce preferred

 

Education/Experience

Minimum of an Associate’s Degree, previous receptionist experience preferred
